Position Title: Program Intern
Position Type: Part-time during school year and full-time during summer
Position Term: June 2025-August 2025 with possibility of extension
Location: Springfield office located at 112 W. Edwards St., Springfield, IL 62704
Location Type: Hybrid
Salary: Unpaid but can be used for college credit
Position start date: As soon as possible

SUMMARY

Under the supervision of Programs, Strategy & Special Projects, the Program Intern will be responsible for assessing the effectiveness and efficiency of program evaluations and reports for all grants. They will assume immediate responsibility for ensuring excellence in task quality and management throughout program implementation, reporting, and closeout for all federal partnerships and grants. The role requires strong organizational and analytical skills to support successful program delivery and ensure high customer satisfaction. The intern will assist the Alliance Director and Senior Manager of Finance, Grants Compliance & Performance with program strategy and implementation, as well as with external relationship tasks when appropriate and not conflicting with other duties. This includes attending relevant trainings and meetings as directed. Additionally, the intern will support the drafting and collection of documents necessary for grant proposals aimed at securing funding for Club activities and programs.

ROLE AND RESPONSIBILITIES

Essential functions:

  • Knowledgeable of all programmatic requirements, overarching guidance and the 2CFR200- Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards and other applicable federal or state and organizational requirements (programmatic and fiscal) applicable to grants.
  • Review and compile program reports for all awarded or new grants including federal, state and private funding awards to the organization.
  • Analyze and compile large sets of data and program documentation with close attention to overarching guidance by funding agency and/or federal/state program requirements.
  • Produce monthly reports necessary for tracking, reporting and compliance of the grant activities as indicated and needed: includes building program dashboards, and/or reporting mechanisms.
  • Gathers and organizes program data and coordinates with Alliance team members to develop program guidelines, goals and tracking mechanisms.
  • Develops qualitative and quantitative methods and strategies for planning, evaluating, and documenting program activities and strategies.
  • Manage, facilitate trainings, and complete reporting for existing and new program initiatives-including partnerships for workforce development and other programs as opportunities arise.
  • Provides technical assistance to funded sites and evaluates program operations and strategies.
  • Supports the development and reporting of program performance measures.
  • Proposes program improvement activities to management through written reports and works collaboratively with funding agencies to ensure program improvement activities, tools and guidance are working.
  • Develops and executes methods and content for communicating Alliance goals, grant objectives, and achievements for program activities related to grants.
  • Supports Alliance in developing and fostering partnerships through consultation, technical assistance, and training for proper grant programming with partnering agencies and funders.
  • Assist with preparation of Annual Meeting, State Youth of the Year celebration and other event planning as needed.
  • Facilitate communication with organization(s) regarding Alliance programs, site visits to Clubs and provide input for Alliance reporting to Board/Annual Meeting.
  • Support and participate in scheduled site visits for audits and reviews as needed.
  • Support & participate in the coordination of committee meetings as assigned to empower program development, objectives, and agendas.
  • Other projects and duties as assigned by the Alliance Director and Manager of Grants Compliance & Performance.

Additional responsibilities:

  • Coordinate and monitor communications to Clubs regarding status of grants.
  • Perform other related duties and special projects as assigned by Director, or Manager.

KNOWLEDGE, SKILLS AND ABILITIES

Education and experience:

    • Currently earning an associate or bachelor’s degree
    • ALL MAJORS ACCEPTED
      • Preferred areas of study include, but are not limited to:
        • Public and Nonprofit Administration
        • Public and Nonprofit Administration – Child Advocacy Studies
        • Finance

Skills:

  • Highly organized and detail oriented
  • Exceptional written and oral communication skills
  • Enjoy working independently and as part of a team

Abilities:

  • Ability to think and problem-solve creatively
  • Ability to provide guidance to people with a wide range of cultural backgrounds, training, and experiences

ENVIRONMENTAL AND WORKING CONDITIONS

  • Normal office environment
  • Less than 20% travel expected
